Executive Assistant to CEO

Full Job Description


We are looking for a versatile and highly-organised personal assistant to perform personalised administrative duties for the Founder and CEO of Nuste Inc. You’ll help to make the best use of his time by dealing with secretarial and administrative tasks.

EAs need extensive knowledge of the organisation in which they work. You’ll need to know who key personnel are, both external and internal, and understand the organisation’s aims and objectives.

Roles and Responsibility

As a EA, you’re often a CEO’s first point of contact with people from both inside and outside the organisation. Tasks will include:

● Managing diaries and organising meetings and appointments, often controlling access to the CEO

● Act as the point of contact to internal/external clients

● Screening and directing phone calls, enquires, requests and distribute and handling correspondence

● Dealing with incoming email, faxes and post, often corresponding on behalf of the manager

● Take dictation and minutes

● Producing documents, briefing papers, reports and presentations

● Reminding the manager/executive of important tasks and deadlines

● Typing, compiling and preparing reports, presentations and correspondence

● Devise and maintain database management and office filing systems

● Implementing and maintaining procedures/administrative systems

● Liaising with staff, suppliers and clients

● Collating and filing expenses

● Handling requests and queries appropriately

● Source office supplies

● Arranging travel, and occasionally travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations

● Meeting and greeting visitors at all levels of seniority

● Carrying out background research and presenting findings

● Organising and attending meetings and ensuring the CEO is well prepared for meetings

● Carrying out specific projects and research

● Coordinating with all department within the company

● Coordinating with External stakeholders such as government bodies, vendors, customers etc

Skills Required

● Discretion, confidentiality and trustworthiness: you will often be party of confidential information

● Excellent oral and written communication skills

● Can speak Hindi, English and Konkani

● Organisational skills and the ability to multitask

● The ability to be proactive and take the initiative

● Flexibility and adaptability

● Tact and diplomacy

● A knowledge of standard software packages and the ability to learn company-specific software.

● Proven work experience as a Personal Assistant

● Knowledge of office management systems and procedures

● MS Office and English proficiency

● Outstanding organisational and time management skills

● Up-to-date with latest office gadgets and applications

● Ability to multitask and prioritise daily workload

Work Hour: 9-6pm

Location: Margao & Sancoale IDC

Job Types: Full-time, Fresher

Salary: ₹20,000.00 – ₹25,000.00 per month
