Department Coordinator
Job Description
Christie’s, international auction house, world leader in the art market, is recruiting a Department Coordinator, within the Contemporary Art and Post-War Department on a permanent contract.
The Department Coordinator facilitates the relationship between the specialists of a department, or a group of departments, by providing complete administrative support. The tasks performed are varied and partly follow the sales schedule.
Main missions

Management of specialists’ agendas, preparation of meetings and travel (booking of trips, hotels, preparation of itineraries)

Preparation of expense reports for international directors

Filtering and processing phone calls
-
Communication with customers, in particular to set appointments and meetings, preparation of mailings, letters, and follow-up of actions decided upon during the meetings

Customer reception
-
Processing courier shipments
-
Treatment of office material problems: IT, reprography, etc.

Preparation of computer access requests for newcomers

Ordering supplies
-
Entering purchase orders and invoices
-
Development of an in-depth knowledge of key and prospective clients and their collections, so as to best meet their needs

Management of the customer information management system

Participation in the administration of inventories, in connection with customers, specialists, the inventory department

Assistance in the preparation of commercial proposals, in particular by gathering data, information or illustrations

Liaison with other departments, other sites and partner institutions
-
Preparation of sales information notices for internal use
-
Follow-up and assistance to specialists for reports of interest
-
Follow-up of requests for sending photographs, information before sales

Participation in sales (clerk, telephone, internet)
Required profile
-
Excellent customer relationship management skills, including excellent written and spoken skills
-
Excellent organizational skills, strong attention to detail and follow-up of planned actions

Excellent ability to collaborate with multiple departments, groups of departments or sites

Excellent ability to remain calm in stressful situations and problem solve
-
Very good level of English
-
Very good knowledge of Word, Excel and Outlook, basic knowledge of JDE would be a plus
