Fashion Designer Assistant


A fashion brand is seeking an Executive Assistant to our Fashion Designer. This position includes assisting in the growth and development of the brand, while actively contributing to all its departments. The ideal candidate will have an entrepreneurial spirit, an unstoppable curiosity and eagerness to learn. They will have to provide high-level administrative support and assist in the day-to-day needs of the Fashion Designer. The Executive Assistant will serve as a liaison for seamless information and project flow and must be able to work under pressure to handle a wide variety of activities.


  • Minimum 4 years PA experience within a creative agency or fashion environment
  • Ability to multi-task and thrive in an extremely fast paced environment
  • Excellent English communication skills, both verbal and written, organizational skills a must.
  • A highly skilled communicator (over email, in person) with perfect brand tone
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Strong project management skills and ability to problem solve
  • Excellent proficiency in Microsoft Office
  • Knowledge of Photoshop, Illustrator and InDesign is a plus
  • Highly organized with great attention to detail

Duties and Responsibilities

  • Liaise between fashion designer and the rest of the team. Help to manage output, workflow, and office deadlines.
  • Keep office and affairs organized and maintain a comprehensive filing system.
  • Works closely and effectively with the superior keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping owner updated
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the owner some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the owner’s ability to effectively lead the company.
  • Handle confidential materials and personal matters for Executive with the utmost degree of care, integrity, and discretion
  • Prepare and organize materials and agendas for internal meetings; set up conference/video calls
  • Organize, scan, and keep all files and contacts up to date
  • Provide calendar and scheduling coordination to ensure the most effective use of the directors’ time and attention
  • Manage the planning and logistics arrangements for all domestic and international
  • Proactively anticipate, identify and resolve any potential external or internal issues on a daily basis
  • Prepare photos and contents (prices, size charts, descriptions) for social media
  • Fabric inquiry, order, shipment and clearance for International and Local
  • Maintain and track Fabric samples from suppliers.
  • Monitor Fabric swatches samples and file on its respective fabrics & materials based on their lines and country
  • Organize and assist designers’ sheet (new collection excel sheet and collection codes)
  • Update and keep track on the excel sheet of Fabric Suppliers (international and local)
  • May be required to conduct different tasks when required.
  • Expected to work longer hours when needed.

Job Types: Full-time, Permanent Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (Preferred)
