We are looking for a Personal Assistant to the Regional Head of Claims and Regional Head of Energy & Construction Underwriting, based in London.

Based across London, Copenhagen and Stockholm the Regional Claims team are committed to providing excellent claims service to our customers. We manage a varied range of complex claims that span a broad range of commercial clients operating in industries including Aviation, Financial Services, Construction, Pharmaceutical, and many more. The Impact You Will Have

As Personal Assistant to the Regional Head of Claims and to the Regional Head of Energy & Construction Underwriting, you will provide an efficient and responsive administrative, organizational and logistical service, helping to manage and prioritize time. The Personal Assistant ensures that the Executives can focus on strategic matters by processing delegable tasks.

Some of your specific responsibilities could include

  • Ensure busy diary commitments and travel arrangements (flights, hotels, visas, appointments) are managed effectively and troubleshoot any problems.
  • Filter emails, highlight urgent correspondence, and remove unwanted emails. Manage and maintain the Executives’ diaries and email accounts in a proactive manner.
  • Coordinate travel and accommodation requirements in connection with other colleagues.
  • Filter general information, queries, phone calls, and invitations, by redirecting or taking forward such contact as appropriate.
  • Liaise with internal and external contacts to arrange meetings, prepare agendas, take minutes during meetings, and monitor follow-up actions.
  • Provide support to prepare PowerPoint presentations and Excel reports.
  • Undertake any other duties as requested.

What You’ll Bring to the Role

  • 3-5 years of previous experience as a Personal Assistant in a Corporate context.
  • Highly organized with the ability to handle complex diary management and travel arrangements.
  • Competent user of Microsoft Office applications: Outlook, PowerPoint, Excel, and Word.
  • Excellent relational skills at every level of the organization.
  • Able to remain calm and focused under pressure.
  • Able to anticipate needs and be proactive in finding solutions.
  • Ability to filter information, assess priorities and work independently.
