Showroom Coordinator

Global Furniture Group is looking for a Showroom Coordinator to join our team. The ultimate candidate will work physically out of our Vancouver showroom. The ideal candidate is energetic and passionate about working alongside a winning sales team. Being an important liaison with our customers, the Showroom Coordinator must possess excellent communication and organization skills. They must work collaboratively with our internal teams to ensure a world-class customer experience.


A Day in the Life

  • Ordering/organizing fabric samples, finishes, and brochures for the showroom library
  • Ordering, organizing, and couriering fabric samples, finishes, and brochures to various design firms/dealers/end users
  • Receiving packages/deliveries/mail
  • Sanitizing showroom / ensuring up keep with Covid regulations
  • Coordinating demo requests/deliveries/pick-ups
  • Coordinating new product delivery/installations
  • Assisting reps. with quotes
  • Assist reps. with meetings (in the showroom or outside the showroom) creating documents, printing documents, ensuring necessary products are available, etc.
  • Answering calls/emails for general inquiries
  • Filling documents
  • Creating product/fabric binders
  • Assisting reps. with whatever they may need that day

Showroom Support

  • Greet all visitors to the showroom
  • Maintain Covid regulations for visitors, fill out Covid questionnaires, sanitize all areas
  • Enter all showroom guests into the system when they first arrive
  • Answer, screen, and forward any incoming calls while providing basic information when needed
  • Receive, sort, and organize daily mail/deliveries/couriers
  • Maintain office supply inventory and order when necessary
  • Ensure cleanliness and organized state of the showroom through dealings with the landlord, cleaners, and maintenance
  • Assist with ordering catering requirements for any meetings and/or presentations
  • Arrange and set up showroom events with all meals, snacks, drink service, props, product installation, etc.
  • Maintain inventory of food and beverage supplies and place orders if necessary (i.e. coffee, tea, milk, sugar, paper products, etc.)

Sales Support

  • Attend and assist with dealer and designer presentations when needed in the showroom and off-site – set up presentations, print documents, make brochure binders, set up finishes selection
  • Present basic products to customers in the showroom – assist walk-ins or Reps. clients if they are not available
  • Manage literature/library/finish samples** – requires a significant amount of time, and daily ordering/organizing.
  • Work closely with the Toronto team for showroom samples of literature/product/etc.
  • Assist Global employees with maintaining dealer libraries, make binders for all dealers + design firms, update them, and send them brochures on-going basis as requested by dealers/firms – requires a significant amount of time
  • Manage showroom and loaner inventory for clients – manage all communication between firms/dealers/end users/warehouses for the availability of a product, delivery/pick-up, and tracking of product
  • Responsible for handling and distributing petty cash while tracking expenditures
  • Assist with basic quotes and tender – create quotes as requested, help with existing quotes
  • Represent Global at trade shows and marketing events along with sales as needed – organize product, delivery/pick-up, booth set up/take down
  • The main point of contact for all firms/dealers for all samples requests, brochures, and demo requests
  • Maintain showroom calendar/events
  • Maintain invoices to be approved and paid
  • Maintain showroom product inventory/sell clearance product
  • Assist sales team when needed with Global software system – for example checking customer lists from dealers for duplicates prior to B.D. rep using for Proactive Calling sessions.

REQUIREMENTS & SKILLS

  • Excellent communication, customer service, and organizational skills
  • Professional appearance and attitude
  • Proficient in Microsoft Windows and Microsoft Office (Excel, Word, PowerPoint)
