Operations Assistant

Job Brief

We are seeking a highly organized and detail-oriented Operations Assistant to join our team. The ideal candidate for this position will have to demonstrate effective communication skills, have an outgoing personality, and thrive in a fast-paced, pressure-driven environment. The Operations Assistant will play a crucial role in supporting our operations team to ensure streamlined and efficient day-to-day operations.


  • Utilize QuickBooks to assist with financial management tasks, including accounts payable and receivable, generating financial reports, and reconciling accounts.
  • Create, update, and maintain spreadsheets using Microsoft Excel to track various operational data, analyze trends, and generate reports for management.
  • Communicate effectively with team members, clients, and vendors, both verbally and in writing, to ensure smooth coordination and efficient operations.
  • Provide administrative support, such as scheduling meetings, managing calendars, making travel arrangements, and preparing documents or presentations.
  • Organize and maintain physical and digital records, ensuring accuracy, completeness, and proper filing for easy retrieval.
  • Collaborate with team members to streamline processes, identify areas for improvement, and implement operational efficiencies.
  • Monitor inventory levels and work with the procurement team to ensure adequate stock levels, timely delivery, and accurate record-keeping.
  • Assist in the preparation of operational budgets, expense tracking, and cost analysis.
  • Support the operations team in managing projects, coordinating timelines, and ensuring deliverables are met.
  • Serve as a point of contact for internal and external stakeholders, addressing inquiries, resolving issues, and providing exceptional customer service.
  • Maintain confidentiality and handle sensitive information with the utmost professionalism and discretion.

Job Requirements

  • Proven experience and proficiency in using QuickBooks for financial management tasks, including accounts payable and receivable, financial reporting, and account reconciliation.
  • Advanced knowledge of Microsoft Excel, including the ability to create complex spreadsheets, use formulas and functions, analyze data, and generate reports.
  • Excellent verbal and written communication skills, with the ability to interact effectively with team members, clients, and vendors.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a dynamic environment.
  • Demonstrated ability to work well under pressure, adapt to changing priorities, and maintain a high level of accuracy.
  • Meticulous record-keeping abilities and a strong focus on data integrity.- Outgoing personality with excellent interpersonal skills and the ability to foster positive relationships with colleagues and stakeholders.
  • Proficiency in other Microsoft Office applications, such as Word and PowerPoint.
  • Previous experience in an administrative or operations support role is preferred.
  • A high level of professionalism, integrity, and a commitment to maintaining confidentiality.
  • Bachelor’s degree in business administration, operations management, or a related field is desirable but not mandatory.
