Personal Assistant/Secretary (Remote)

We are seeking a highly organized and proactive individual to join our team as a Virtual Personal Secretary. As a Virtual Personal Secretary, you will be responsible for providing comprehensive administrative support to executives or professionals remotely. You will play a crucial role in maintaining effective communication, managing schedules, coordinating meetings, creating reports, and ensuring the smooth operation of day-to-day activities. The ideal candidate must be reliable, detail-oriented, and possess excellent communication and time management skills.


  • Manage and maintain executives’ or professionals’ calendars, scheduling appointments, meetings, and conferences efficiently.
  • Coordinate and arrange virtual meetings, including sending invitations, managing RSVPs, and setting up video conferencing platforms.
  • Prepare meeting agendas, materials, and presentations in collaboration with team members and distribute them in advance.
  • Take meeting minutes, document action items, and follow up on outstanding tasks.
  • Conduct thorough research and compile information for reports, presentations, and projects as assigned.
  • Assist in the creation, editing, and formatting of various documents, such as letters, memos, emails, and reports.
  • Monitor and manage executives’ or professionals’ emails, responding to or redirecting messages as appropriate.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation, when necessary.
  • Manage and maintain confidential and sensitive information with the utmost professionalism and discretion.
  • Handle ad hoc administrative tasks, such as data entry, expense tracking, and filing, to ensure efficient office operations.
  • Prioritize and manage multiple tasks simultaneously, demonstrating excellent time management skills and attention to detail.


  • Proven experience as an administrative assistant, personal secretary, or similar role.
  • Strong proficiency in using virtual communication tools, such as video conferencing platforms, email clients, and project management software.
  • Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
  • Tech-savvy and adaptable to new software and online tools.
  • Ability to work independently and remotely, demonstrating self-motivation and accountability.
  • Strong problem-solving skills and ability to handle unexpected changes or challenges.
  • High degree of professionalism and discretion in handling confidential information.
  • Proactive and detail-oriented, with a commitment to delivering high-quality work.

Preferred Qualifications:

  • Experience supporting executives or professionals in a remote or virtual capacity.
  • Familiarity with project management methodologies and tools.
  • Knowledge of virtual collaboration platforms such as Slack, Trello, or Asana.
  • Understanding of basic accounting principles and expense tracking.

Note: This is a virtual position, and the successful candidate will work remotely with their own equipment and a reliable internet connection.

Job Type: Part-time

Part-time hours: 14 per week

Salary: AED900.00 – AED1,000.00 per month
